  • Identity & contact details: your name and the mobile number of the single designated point of contact (such as a wedding coordinator, family member, or event planner) logged in our system for a booking.
  • Booking details: pick-up and drop-off locations, itinerary, dates and times, the vehicle you select, number of passengers, and any special requests (decoration, pet travel, and similar).
  • Travel details: for airport transfers, your flight number and arrival or departure information, used to track your flight.
  • Payment & billing information: amounts, invoices, and transaction references processed through our central invoicing platform. We do not store complete card details.
  • Communications: messages, calls, and enquiries you send us via WhatsApp, phone, email, or our website forms.

Information collected automatically

  • Location & vehicle telemetry: real-time GPS and on-board diagnostic (OBD) data from our vehicles — including route, location, and engine telemetry — used for navigation, passenger and vehicle safety, and our geo-fencing security systems.
  • Device & usage data: IP address, browser type, device information, pages visited, and similar analytics data collected through cookies and similar technologies.

2. How We Use Your Information

  • To provide and coordinate your booking, including dispatching a chauffeur and sharing timing and location updates with your designated point of contact.
  • To track flights for airport transfers and adjust pick-up timing accordingly.
  • To send you automated booking notifications, your chauffeur's profile and contact number, and a live vehicle-tracking link.
  • To process payments, generate invoices, and manage overtime or additional charges through our central invoicing platform.
  • To ensure the safety and security of passengers and vehicles, including monitoring engine telemetry and operating geo-fencing safeguards.
  • To respond to your enquiries and provide customer support.
  • To comply with applicable laws, including the Telangana Motor Vehicles rules and other regulatory requirements.

3. WhatsApp & Communications

Many of our bookings and enquiries are handled via WhatsApp and phone. When you contact us through these channels, your phone number and message content are processed in order to respond to and fulfil your request. These communications are also subject to the privacy policies of the respective platform providers (for example, WhatsApp).

4. Location Data & Vehicle Telemetry

Our vehicles are fitted with GPS and OBD diagnostic systems that record location and engine data in real time. This information is used to navigate efficiently, ensure passenger and vehicle safety, prevent unauthorised use through geo-fencing, and provide live tracking links during your journey. Telemetry data is not used for any purpose unrelated to operating and securing our service.

Category 2: Floral Decoration & Vehicle Aesthetics

Can I decorate the rented luxury car for my wedding, and what are the allowed methods?

Yes, you are welcome to decorate your wedding car, but to protect our engineer-maintained premium exterior finishes, decorations must strictly adhere to the approved methods outlined in our terms:

  • Approved Methods: Only soft silk ribbons, premium suction cups, and paint-safe adhesive tapes are permitted.
  • Prohibited Materials: The use of metallic wires, staplers, sharp pins, or abrasive glues is strictly prohibited as they scratch or puncture the paintwork.
  • Natural Elements: If using fresh flowers, all thorns must be completely removed by the florist. Any flower sap or pollen stains that penetrate the vehicle's clear coat will require specialized corrective treatment by Ridefix.
  • Third-Party Decorators: If you hire an external wedding decorator, the client remains solely responsible for any scratches or structural dents caused during the decoration installation or removal process.

Who is responsible for removing the wedding flowers and decorations from the vehicle?

All floral arrangements, ribbons, and tapes must be removed by the client or their assigned decorator immediately following the conclusion of the event. Any adhesive residue, sap, or debris left on the vehicle requiring specialized chemical cleaning or paint correction will attract a ₹2,000 restoration fee.

Can our wedding photographer mount cameras or have us pose on top of the luxury vehicle?

To preserve our master exterior finishes, sitting, leaning, or standing on the vehicle's hood, trunk, or roof for photographs is strictly prohibited. Professional media production equipment (such as heavy cinematic tracking rigs or magnetic camera mounts) may only be attached by licensed professionals with prior written approval from our operations desk. Standard handheld photography and non-invasive flash equipment are always welcome.

Category 3: The "Baraat" Procession Protocols

Are fireworks, cold fire, or pyrotechnics allowed near RideHire wedding vehicles during the Baraat?

Luxury sunroof assemblies and tracking motors are finely engineered systems not designed to support external human weight or leverage. Any mechanical damage, tracking alignment failure, or motor burnout caused by opening or leaning on the sunroof will be billed directly to the client at actual restoration costs.

What are RideHire's safety policies regarding slow-moving Baraat processions in Hyderabad?

Slow-speed idling creates immense thermal stress on premium, high-performance engines. While the engine and air conditioning may remain fully operational for passenger comfort during a Baraat, if our real-time GPS/OBD diagnostic telemetry indicates engine overheating, our Certified Navigator has the explicit authority to temporarily turn off the engine or safely move the vehicle out of the procession zone until temperatures stabilize.

Category 4: In-Cabin Regulations, Rituals & Seating Capacity

Are traditional marriage rituals allowed inside RideHire's luxury vehicle cabins?

Traditional wedding rituals—such as the throwing of ceremonial rice, coins, or vermilion (Sindoor)—must be conducted entirely outside the passenger cabin before the couple enters. Ceremonial powders and liquids can severely stain and damage our custom leather upholstery. Any interior discoloration, powder residue, or liquid damage will result in an Interior Deep-Clean Penalty ranging from ₹3,500 to ₹7,500.

What is RideHire's policy on consuming food, alcohol, or smoking inside wedding cars?

  • Smoking/Vaping: RideHire maintains a strict 100% smoke-free and vape-free policy across all vehicles.

Our executive sedans are restricted to a maximum of 4 passengers plus the driver, while our luxury vans (such as the Toyota Vellfire or Mercedes V-Class) accommodate up to 6 or 7 passengers maximum. Under no circumstances will overcrowding or "lapping" of passengers be permitted, even for short-distance movements within a resort or venue compound.

Category 5: Timing, Overtime, Errand Rules & Destination Logistics

Does the luxury wedding tariff allow for making multiple shuttle trips or running errands?

No. Our premium wedding tariff is structured strictly for point-to-point linearity or dedicated standby for a single designated itinerary segment (e.g., Groom's Residence to Venue, or Venue to Bride's Residence for Vidaai). Making multiple shuttle trips to transport different groups of guests, running logistical errands, or picking up items from multiple locations is strictly prohibited under the wedding package tariff. Shuttling puts immense mileage and timing strain on the schedule, risking delays for the primary couple. If you require continuous point-to-point shuttle services for guests, you must book separate, dedicated support vehicles (such as our Toyota Innova Hycross or Kia Carnival) under our standard hourly or daily charter rates.

Can we load wedding gifts, heavy trunks, or event props into the wedding car?

Our luxury sedans (BMW 7 Series, Mercedes S-Class, Audi A6) are designed strictly for passenger elegance and can comfortably hold up to two standard international suitcases. They are not built to transport bulky event props, large decorative gift hampers, or heavy bridal trunks. How does RideHire handle wedding delays and overtime billing?

Once this grace window is exceeded, overtime is automatically calculated and billed in 1-hour increments at your specific vehicle segment's hourly rate.

Are there additional allowances for late-night timings or last-minute route changes?

Yes. Any wedding rental duties that extend late into the night beyond 11:00 PM or demand an early morning startup before 5:00 AM will attract a standardized Chauffeur Night Allowance. Additionally, last-minute route deviations from the original itinerary must be updated with our operations desk so our central Geo-Fencing security systems do not trigger an automatic safety lockdown.

Is Chauffeur Batta (Driver Allowance) included, and are we expected to tip the driver?

All standard driver allowances, working-hour parameters, and base operational costs are fully calculated into your initial luxury wedding package quote. While giving a voluntary tip (Inam) to your Certified Navigator to celebrate your joyous occasion is entirely at your discretion, it is never mandatory or demanded. Category 6: Reliability & Mechanical Guarantees

What is RideHire's policy regarding narrow lanes or restricted parking zones at wedding venues?

Our Certified Navigators will always try to get as close to your venue entrance or doorstep as safely possible. However, they reserve the right to decline navigating unmade roads, exceptionally tight driveways with protruding branches, or low-hanging wires that could damage the vehicle. Furthermore, if a client requests the vehicle to standby in an illegal or restricted zone, any resulting traffic or parking fines issued by authorities will be billed directly to the client's account.
